Qualifications Administrator

About the role

To provide efficient administration and coordination of qualifications, apprenticeships and funded learning across the Group. The role supports the learner journey from enrolment to completion, maintains accurate records, coordinates with training providers and administers apprenticeship levy, funding and relevant grant claims.
 

Qualifications Administration 

•  Administer qualification and apprenticeship nominations, enrolments, learner changes, completions and certification. 

•  Maintain accurate learner records and trackers, monitoring progress and following up outstanding actions. 

•  Ensure required approvals, eligibility information and supporting documentation are complete and retained. 

Funding, Levy and Grants 

•  Administer apprenticeship levy and funding activity, along with relevant grant or reimbursement schemes, in line with agreed processes. 

•  Check learner and provider information, training costs, funding commitments and claims for accuracy. 

•  Track funding commitments, claim deadlines and reimbursements, escalating risks, discrepancies or outstanding actions. 

•  Support reconciliation of qualification and apprenticeship funding with Finance and external training providers. 

Provider and Stakeholder Support 

•  Act as an administrative contact for learners, managers, internal colleagues and external training providers in relation to qualifications and funding queries. 

•  Coordinate provider information, progress updates, learner changes and completion documentation. 

Data, Reporting and Process 

•  Prepare routine reports on qualification activity, including starts, active learners, completions, withdrawals, funding and claims. 

•  Maintain accurate, audit-ready learner and funding records and handle information securely and confidentially. 

•  Use relevant systems effectively and identify practical improvements to trackers, templates and administrative process

About You

You will hold GSCE Grade A-C in English and Math's, or equivalent, and have administration experience in a busy, multi-faceted environment, supporting remote team members in all administration requirements.

A confident communicator with good listening skills, you will be experienced in delivering high levels of customer service in a fast paced, virtual environment and ideally have knowledge of the Health & Social Care sector and knowledge of qualifications and apprenticeship provision in the UK.

You will have excellent organisational and time management skills, with experience of stakeholder management and of managing external providers and suppliers to deliver quality goods and services.
Safeguarding is everyone’s responsibility and therefore it is important that you are able to recognise the signs which may indicate possible abuse, harm or neglect in its different forms and know what to do if there are any concerns. All colleagues are required to attend safeguarding training appropriate to their role and to undertake additional training in associated areas. You also have the ability to seek appropriate advice and report concerns, including escalation if action is not taken.
