Legal Support Administrator

About The Role

The Legal Support Administrator will provide a confidential, comprehensive, and professional level of administrative support the data protection and claims management teams.

They will support with general administrative tasks which will include:
  • Sending acknowledgements and requests for authority.
  • Providing homes with support on actions needed to complete specific tasks.
  • Retrieval of records from HC-One’s external records storage.
  • Managing the records on the HC-One management system. 
  • Coordinating with homes to arrange courier collection of records
  • Scanning of hard copy records 
  • Secure transfer of records to external stakeholders
  • Logging and administering new requests for information, data breaches and claims on HC-One’s management system. 
  • Monitoring active requests for information with regard to the statutory timescales and sending reminder emails for data retrieval, updates to requestors.
  • Assisting the Data Protection and Claims Management Teams in managing and reviewing data.
  • Supporting homes with the process for archiving and destruction and maintaining a central archiving record.
  • Supporting HC-One with external inquiries, claims and coroners’ inquests.
  • Setting up key Information Governance meetings.
  • Alerting the Senior Data Protection Officer/Data Protection Officer and Claims Manager of any concerns relating to the tasks undertaken.
  • Supporting the Data Protection function with the completion of the annual data security and protection toolkit.
Hybrid working is avaialble for this role.

About You

You will be educated to GCSE / NVQ Level 3, or equivalent, and have a minimum of a years’ experience in an administrative function dealing with legislative and legal processes, ideally within a data protection or legal function within a large corporate environment.

With advanced I.T skills, including the ability to use Microsoft Office suite and data management, you will have excellent attention to detail and time management skills and be highly organised with effective communication skills.
Safeguarding is everyone’s responsibility and therefore it is important that you are able to recognise the signs which may indicate possible abuse, harm or neglect in its different forms and know what to do if there are any concerns. All colleagues are required to attend safeguarding training appropriate to their role and to undertake additional training in associated areas. You also have the ability to seek appropriate advice and report concerns, including escalation if action is not taken.

With our network of more than 300 care homes across the UK, it is our central support Colleagues who connect our homes. Our central support office in Darlington provides assistance through a variety of functions to our frontline services
